E-Signatures
Signatures (/sign) is the electronic signature module in Optimaite Workspace. Send any document for signing — no external tools required.
Send for Signature
Open the Signatures page
Navigate to Unterschriften in the sidebar, or click "Send for Signature" from any document's context menu.
Add signers
Enter email addresses for each signer. You can assign signing order (sequential or parallel).
Place signature fields
Drag signature, initial, date, and text fields onto the document where each signer needs to act.
Send
Review and send. Signers receive an email with a secure link to sign — no Optimaite account required.
Signing Experience
Signers receive a link that opens the document in a secure signing view:
- Signature fields are clearly highlighted — signers click to apply their signature
- Typed, drawn, or uploaded signatures supported
- Audit trail — every action (viewed, signed, declined) is timestamped and logged
- Email notifications — all parties receive confirmation when signing is complete
Status Tracking
On the Signatures page, track the status of each envelope:

|---|---|
| Draft | Not yet sent |
| Sent | Waiting for signers |
| Signed | All parties have signed |
| Declined | A signer declined |
| Expired | Signing deadline passed |
Integration with Law
In Law, documents can be routed to Workspace signing from the Postmappe workflow. After all parties sign, the signed document returns to the Law Akte automatically.
Signatures initiated from Law pass through Workspace temporarily — you briefly leave Law, complete the signing setup, and return.
