Data Rooms

Data Rooms (/datenraeume) are secure virtual spaces for sharing sensitive document bundles with external parties — investors, auditors, legal counterparts, or clients.

Create a Data Room

Navigate to Data Rooms

Open Datenraeume from the sidebar.

Create a new room

Click New Data Room, give it a name, and choose access settings.

Upload documents

Drag files into the room or import from your workspace library. Supported formats: PDF, DOCX, XLSX, PNG, JPG.

Set folder structure

Organize documents into folders. You can define a custom index template for structured due diligence.

Access Control

Data rooms support granular permissions:

  • Invite by email — specific users with view or download access
  • Link sharing — generate a secure link with optional password protection and expiry date
  • Watermarking — apply user-specific watermarks to deter unauthorized distribution
  • Download control — allow or prevent file downloads per user
  • Activity log — track who viewed, downloaded, or printed each document

Q&A

Built-in Q&A allows external parties to ask questions about specific documents. Answers are tracked and visible to all participants with appropriate permissions.

Integration with Law

When used alongside Optimaite Law, data rooms can be linked to Akten — documents filed in a case can be promoted to a data room without duplication.

Data rooms are separate from the Workspace Explorer file tree — they are standalone shared spaces, not folders inside your workspace.
