Posteingang (Inbox)

Posteingang (/inbox) is the unified inbox for all incoming correspondence. Email, beA, physical post, portal messages, and other channels appear in one workbench.

Layout

The inbox uses a three-pane layout:

  1. Smart views — saved filters (e.g. unassigned, today, by channel)
  2. Message list — items matching the current view
  3. Detail panel — full message, attachments, AI extraction, and actions

Supported channels

Incoming items may arrive via:

  • Email (connected mailboxes)
  • beA (German attorney mailbox)
  • Physical post (scan/upload workflows)
  • Fax, SMS, WhatsApp, portal, and internal messages

beA messages are configured under Verwaltung → Integrationen → beA; they surface here like email once connected.

Triage workflow

Select an item

Click a message in the list to open the detail panel.

Review content and attachments

Read the body, open PDFs, and check AI-extracted fields (sender, dates, references).

Assign to Akte or Mandant

Link the item to the correct Akte (case) and Parteien (parties). Use search or create a new matter if needed.

Classify and file

Set document type, folder, and tags. Confirm filing so the item leaves the open queue.

Reply or forward if needed

Use Reply or Forward to start outbound correspondence (see Postmappe for sending).

Unassigned inbox items do not appear on case timelines until you link them to an Akte.

Smart views

Create smart views to save filter combinations (channel + status + assignee). Pin views your team uses daily (e.g. "beA — unassigned").

Physical post (Postmappe intake)

Physical mail may enter via Postmappe intake workflows (/inbox/postmappe for outbound; inbound scans often appear in Posteingang with channel post). QR-based batch release is available for mailroom processes.
