Agents & Workflows

Agents and Workflows are the automation layer in Optimaite Workspace. Build custom AI agents and multi-step workflows to automate repetitive document tasks.

Agents (/agents)

Agents are configurable AI assistants with pre-defined behavior. Unlike ad-hoc AI prompts, agents run with a fixed system prompt, knowledge base, and output format.

Create an Agent

Open the Agents page

Navigate to Agenten in the sidebar (under Automation).

Define the agent

Set a name, description, system prompt, and output format. You can attach reference documents as a knowledge base.

Test and deploy

Test the agent with sample inputs, then publish it. Published agents appear in the AI panel for your team.

Example Agents

  • Contract Reviewer — reviews contracts against your firm's playbook and generates a departure report
  • Clause Drafter — generates standard clauses based on your firm's templates
  • Translation Agent — translates documents while preserving legal terminology

Agents require the surface:agents_studio permission. Contact your admin if you don't see the Agenten section.

Workflows (/workflows)

Workflows chain multiple actions — AI and non-AI — into automated sequences.

Build a Workflow

Open Workflows

Navigate to Workflows in the sidebar.

Define steps

Add steps: generate document from template, run AI review, send for signature, notify team. Each step has configurable inputs.

Set triggers

Workflows can be triggered manually, on a schedule, or via webhook.

Activate

Save and activate. The workflow appears in your automation dashboard.

Example Workflows

  • New Client Onboarding — create NDA from template → AI review → send for signature → notify partner
  • Monthly Report — collect data from sheets → generate report document → email to distribution list
  • Contract Intake — import Word document → AI extraction → populate template → file to data room
