Inspection reports, supplier PDFs, goods receipt notes and photos arrive by email, scan or upload. Optimaite recognises whether it is an inspection, an NCR or a CAPA.

Extract the findings
Item, batch, supplier, defect, quantity and severity are structured. Anything unclear is flagged for clarification — the AI does not fill mandatory fields freely.

Case & routing
The record is assigned to the responsible quality owner. Escalation by deadline, links to the PO or supplier file, and a comment trail for the audit.

Close the action & post it
