Welcome to Optimaite Business

Optimaite Business is an AI-powered platform for managing business correspondence, entities, documents, and financial workflows. It brings inbox processing, contact management, structured document storage, and reconciliation into a single workspace.

The Optimaite suite

Your organization may use multiple products from the same account:

Switch between products from the suite menu at the top of the sidebar. Documents and entities are shared across products where permissions allow.

First login

Sign in

Open your organization's Business URL and sign in with the credentials your administrator provided.

Land on Übersicht

After login you arrive at Übersicht (/overview) — the dashboard that summarizes your inbox, recent documents, and pending actions.

Explore the sidebar

The sidebar is organized into three sections:

  • Arbeitsbereich (workbench) — Übersicht, Korrespondenz, Kalender
  • Daten (records) — Entities, Documents, Structured Storage
  • Verwaltung (admin) — Settings, templates, user management

Bookmark Übersicht (/overview) — it is the best starting point every morning.

Dashboard quick actions

The Übersicht dashboard provides quick actions for common tasks:

  • Upload document — drag or select files for AI processing and filing
  • Create entity — add a new contact, organization, or custom record
  • View inbox — jump to Korrespondenz (/posteingang) for triage
  • Ask agent — open the AI assistant to answer questions about your data

Recent activity and AI-processed items appear below the quick actions so you can follow up immediately.

Daily workflow

A typical day in Optimaite Business follows this pattern:

Check Korrespondenz

Open Korrespondenz (/posteingang) to review incoming correspondence. AI sorts, extracts data, and suggests entity assignments.

Triage and assign

Review AI suggestions, confirm or reassign entities, and classify documents.

Work with entities

Switch to Daten → Entities to review contacts, organizations, and their relationships.

File and reconcile

Use Structured Storage to file processed documents. Run Abgleich (reconciliation) to compare extracted data against external sources.
